Personal data processed during communication and service provision
We collect the information you provide to us as follows:
- when you contact us;
- when you order services;
- when you apply for a job with us.
When you order paid services, we also request your financial information, such as your preferred payment method and billing address.
We also process personal data that we receive from third parties. This regularly includes personal data that we receive in correspondence or meetings with customers or business partners, e.g. your name and details of your activity as a team member of the customer or business partner.
To the extent necessary to achieve the purposes described in this Privacy policy, we also collect general personal data from publicly accessible registers, websites or platforms (e.g. to verify your signature authorization) or by obtaining information from third parties (e.g. for reference purposes in the application process, if you consent to this).
When you contact us via our website contact form, the information you submit may be processed using automated tools, including artificial intelligence (AI), to help us respond to your inquiry efficiently. This is described in more detail in the section 'Use of automated processing and AI tools' below.
Use of automated processing and AI tools
When you submit an inquiry via our contact form, we use automated processing tools, including AI services provided by OpenAI (OpenAI, L.L.C., USA), to support our internal handling of your request. This processing involves the following stages:
a) Classification
We use AI to classify your inquiry as a business-to-business (B2B) or business-to-consumer (B2C) request, based on the information you provide (such as your email address, company name, and message content). This helps us route your inquiry to the appropriate team.
b) Information extraction and enrichment (B2B inquiries only)
For business inquiries, we use AI to extract structured information from your message (such as estimated volume requirements, timing, and technical requirements). In addition, we may supplement the information you provide with data obtained from publicly accessible professional sources, including company websites, LinkedIn (company profile) and other professional networks, and official press releases or event publications.
We only use data from the following permitted sources: company websites, LinkedIn and professional networks, official event profiles, and press releases. We do not use data brokers, personal social media profiles, or sources with unclear provenance. If information cannot be confirmed from a permitted source, we record it as unknown.
c) Lead scoring and routing
Based on the information gathered in the steps above, we assign an internal score to your inquiry to prioritize and route it to the relevant sales or technical team. This scoring is based on documented criteria including estimated technical requirements, commercial parameters, and timing.
Human review: No decision about your inquiry is made solely by automated means. All AI-generated classifications, enrichment results, and scores are reviewed by a member of our team before any action is taken. You will not be subject to a decision based solely on automated processing that produces legal or similarly significant effects.
Legal basis: This processing is carried out on the basis of our legitimate interest (GDPR Art. 6(1)(f)) in handling inquiries efficiently and allocating our resources appropriately. Where required by applicable law - in particular for data subjects located in China - we will seek your explicit consent before conducting AI-based processing of your personal data.
Data processor: OpenAI acts as a data processor on our behalf. Personal data submitted via the contact form may be transferred to OpenAI's infrastructure, which may be located outside the EU/EEA/Switzerland. Such transfers are carried out on the basis of the European Commission's Standard Contractual Clauses. OpenAI does not use your personal data to train its models under our contractual arrangements.
Your rights: You have the right to object to this processing at any time by contacting us at [email protected]. Objecting to AI processing will not affect our ability to respond to your inquiry - it will be handled manually.
